5-DAY TRANSFORMATION READINESS SPRINT

Scope and service terms

ClinoPilot Inc. provides this fixed-scope readiness sprint. The written fit check and client-specific agreement confirm the dates, scope, data boundary, and cancellation terms before payment is requested.

Scope

The sprint covers one active healthcare transformation initiative for one named sponsor, with up to five stakeholders, up to three agreed priority workflows, and review of up to ten non-sensitive evidence items. Work begins after the agreed kickoff and receipt of the required process-level inputs. The five-day working window may be adjusted in the written scope if required client information, decisions, or participants are unavailable.

The standard outputs are:

  • a workflow and dependency map;
  • a readiness/adoption scorecard with an evidence-confidence summary;
  • prioritized fixes with owners and measures;
  • a decision-ready implementation brief; and
  • an executive debrief.

Fit check, fees, and delivery

First, ClinoPilot reviews the initiative and confirms in writing the scope, dates, data boundary, and client-specific cancellation and rescheduling terms. No payment is requested before that agreement and confirmation of a secure payment route. The fixed fee is CAD $5,000 plus applicable tax. The client may pay CAD $2,500 plus applicable tax as a reservation and CAD $2,500 plus applicable tax before the executive debrief, or pay CAD $5,000 plus applicable tax upfront. If Stripe checkout is available, it calculates applicable tax at payment.

Stripe checkout is active for the Sprint. After the parties agree in writing on scope, dates, data boundary, and client-specific cancellation and rescheduling terms, ClinoPilot emails the appropriate Stripe link. Stripe calculates applicable tax from the billing details provided at checkout. A fit check does not reserve dates or create a payment obligation. Work begins only after the parties agree in writing, the required reservation or full payment is verified, and kickoff is confirmed.

ClinoPilot delivers the agreed workflow and dependency map, readiness/adoption scorecard with evidence-confidence summary, prioritized fixes with owners and measures, decision-ready implementation brief, and executive debrief. Delivery is by electronic means to the named sponsor; there are no physical goods. If ClinoPilot cannot accept or perform an engagement after payment, the amount paid will be refunded.

Any post-sprint implementation or adoption continuation is optional, separately scoped in writing, and starts at CAD $12,500 plus applicable tax. It is not included in the Sprint.

Cancellation, rescheduling, and refunds

The written agreement states the applicable cancellation and rescheduling terms before payment. Contact main@clinopilot.com with a cancellation or refund request. After kickoff, any refund considers work already performed and capacity reserved under the agreed terms. Nothing here excludes rights that cannot lawfully be excluded.

Optional decision call

A call is optional. Each decision call is scheduled for at least 45 minutes, and ClinoPilot leaves a minimum 45-minute gap after each call. Times are confirmed by email; no call is required to request a written fit check.

Client responsibilities

The client will name one sponsor, provide accurate non-sensitive information, make up to five relevant stakeholders available for agreed sessions, and review time-sensitive questions promptly. Additional initiatives, workflows beyond the agreed three, production-system access, EHR configuration, implementation labour, procurement support, or custom software are outside the fixed scope unless added in writing.

Do not provide patient information. Use de-identified, aggregated, or synthetic material only. Do not send patient identifiers, credentials, production exports, or system access. ClinoPilot may pause work and request a safe replacement if sensitive information is supplied.

Professional-use limitation

The sprint supports operational workflow improvement. It is not medical, legal, privacy, accreditation, cybersecurity, or regulatory advice; it does not certify compliance or replace local clinical governance. The client remains responsible for approvals, implementation decisions, testing, monitoring, and patient care.

Confidentiality and materials

Each party will use reasonable care with non-public information shared for the engagement. The client retains ownership of its pre-existing materials and raw data. ClinoPilot retains its pre-existing methods, templates, and know-how. The client may use the final engagement deliverables internally for the agreed organization but may not resell or publicly redistribute ClinoPilot templates.

Outcomes and liability

Recommendations depend on the information and participation available during the sprint. No clinical, operational, financial, compliance, adoption, or implementation outcome is guaranteed. To the extent permitted by law, ClinoPilot Inc.’s aggregate liability relating to the engagement is limited to fees paid for it, and neither party is liable for indirect or consequential losses. Nothing in these terms excludes rights or liabilities that cannot lawfully be excluded.
